Course reading materials: guidance for staff

The following information aims to guide you through the procedure for ensuring that course reading materials will be made available for your students.

Books

Please use DiscoverEd to check that the book title is held by the Library, either in print or electronic format. DiscoverEd will indicate the number of print copies that are available and the borrowing times for each, as follows:

  • Reserve - 3 hours
  • Short loan - 1 week
  • Standard loan - 4 weeks

You may wish to review these loan periods to facilitate equitable access for your students.

If a book is not held by the Library

If a title is not held by the Library, this may be ordered using the book recommendation form for your College.

Your Academic Support Librarian will be able to advise you on the appropriate number of copies that should be purchased for the number of students that will be using it.

To ensure that books are available in good time, please allow up to 10 weeks for your request to be processed.

Journal articles

Please check first of all that the Library subscribes to the journal. DiscoverEd will indicate print holdings and will give the coverage of the online access for all titles to which the Library subscribes. Links to ejournal articles, which will need to be checked annually, can then be included in your course reading lists.

eReserve

Before recommending journal articles or book chapters for eReserve, please check that these are not already available, either via an existing electronic journal subscription or in an ebook to which the Library already has access.

Full information on the eReserve service and the materials that the Library can make available, copyright law permitting, on a course Virtual Learning Environment (VLE) may be found here:

Staff will be advised of the deadlines for submission of eReserve requests for each semester in the academic year. All existing users of the service will also be sent a reminder email by the eReserve team. Due to the very high level of demands upon the eReserve service, your prompt response when submitting your requests will be greatly appreciated by the team!

The eReserve timetable for the current academic year may be found here:

Illegal copying

Please do not be tempted to scan books, book chapters or journal articles and mount them on the VLE, as this is illegal!

The University is audited by the compliance enforcement team of the Copyright Licensing Agency (CLA) and can be held responsible for any breaches of copyright. University employees can, in some circumstances, also be held personally liable for infringement.
