Orchestral sets lending service for community orchestras and musical ensembles

The University of Edinburgh Library has an extensive collection of orchestral sets that can be borrowed by university orchestras and musical groups. These are also available for use by community orchestras and musical ensembles based in Edinburgh. We hold over 1000 orchestral sets and some choral sets that accompany the orchestral parts.

Costs

Hire charges are made per set, as follows:

  • University of Edinburgh orchestras and ensembles: no charge.
  • Charities and Educational orchestras, i.e. school, and other university orchestras / non- performing orchestras: £30. For charities, the charity number must be provided.
  • Other orchestras: £45.

 

£50 deposit cheque or equivalent in cash is required for each set. If more than one set is borrowed, a separate £50 cheque must be provided for each.

The hire period for orchestral sets is 3 months. This can be extended for a further 3 month period on payment of an additional hire charge and the presentation of a new deposit cheque at the end of the first three month period.

Borrowing Regulations for Orchestral Sets

 

Membership:

Orchestral sets may be hired by both university members and non-university members (such as community groups).

Non-university members wishing to borrow sets must:

a) obtain a visitor’s card from the Main Library EdHelp Service Desk

b) provide proof of:

  • Home address (e.g. utility bill, driving license)
  • Signature (e.g. bank/credit card, driving licence)
  • Membership of the organisation/charity/community group (e.g. letter on headed paper stating that they are the contact for the organisation).

 

Organisations and community groups using the service are requested to choose someone who will act as the sole contact for the organisation. This person is responsible for:

  •  placing the requests
  •  paying for scores on collection
  • collecting and checking the quantity of scores
  •  noting the physical condition of the scores on collection in agreement with library staff
  • looking after the orchestral sets while in the possession of the society
  • returning sets complete, on time and in the same condition in which they were borrowed

 

Requests:

Borrowers must give library staff at least one week’s notice of orchestral set requests.

 

Borrowing Entitlement:
  • Orchestras do not have to pay for library membership to borrow a set and compatible score together.
  • Orchestras are only entitled to take out scores, which are part of the general collection, when the score is borrowed with the orchestral set.
  • If an orchestra wishes to borrow scores in advance:
  • A member of the orchestra with borrowing rights may take out the score.
  • The orchestra may become a borrowing member of the library for 3 months to take out the score on fulfilment of the requirements and payment of the fee. (£30).
  • The orchestra may borrow the sets for a double hire period on payment of double hire charge.
  • In those cases where the score is kept with the set and deemed part of it, the score may only be borrowed with the complete set. Parts of the set may not be borrowed individually.

  • University of Edinburgh orchestras and ensembles: no charge.

Care of sets and cashing of deposit cheques:
  • If clean sets are returned to the library with pencil markings, they will be handed back to the borrower for cleaning by the borrower.
  • Deposit cheques will be cashed if:
    • Sets are returned incomplete and the missing parts are not replaced with an identical copy of the same edition within 4 weeks. NB: PHOTOCOPIES ARE NOT ACCEPTABLE. If the missing parts are replaced within 4 weeks of return, the user will only be liable for the replacement cost and the deposit will be returned to the user.
    • Sets are returned in a worse condition than when they were borrowed and are replaced with an identical copy of the same edition within 4 weeks. NB: PHOTOCOPIES ARE NOT ACCEPTABLE. If the damaged set is replaced within 4 weeks of return, the user will only be liable for the replacement cost and the deposit will be returned to the user.
    • The borrower fails to respond to phone calls and emails from library staff regarding the late return of sets or missing parts.
    • If the set is no longer in print, the borrower will lose the deposit and an appropriate charge will be made to cover the loss.
    • All issues surrounding missing parts must be resolved to the satisfaction of Edinburgh University Library before another set may be borrowed.

 

Collecting/returning sets:
  • Please put the sets in order before returning them i.e. please put them in the order shown in the manifest included with the set.
  • Orchestral sets and accompanying scores must be returned to the EdHelp Service Desk. They must NEVER be returned through the self-return machines.
  • All sets have to be thoroughly checked on return by a member of the library staff before the deposit cheque is returned. If borrowers require sets by post, they will be charged postage.
  • Sets must be collected during EdHelp Service Desk opening hours.
  • Borrowers who return sets by post are responsible for the material until it has been received by a member of library staff.
