UKRI
If you are publishing a monograph, book chapter or edited collection on or after 1 January 2024, you must comply with the UKRI open access policy.
This applies to publications that need to acknowledge funding from UKRI or any of its councils. This includes funding from:
- the research councils
- Research England
- Innovate UK
You must make your long-form output open access within 12 months of publication and use an open licence.
In summary, the core requirements of the policy are:
- your final Version of Record or Author’s Accepted Manuscript must be free to view and download via an online publication platform, publisher’s website, or institutional or subject repository within a maximum of 12 months of publication
- images, illustrations, tables and other supporting content should be included in the open access version, where possible
- the open access version of your publication must have a Creative Commons licence, with a Creative Commons Attribution (CC BY) licence preferred. An Open Government Licence is also permitted. (This requirement does not apply to third party materials included in your publication).
Exceptions to the Policy
There are some exemptions, for example,
- If you already signed a contract with a publisher before 1st January 2024 and it does not facilitate open access then you will not require to be compliant.
- the only appropriate publisher, after liaison and consideration, is unable to offer an open access option that complies with UKRI’s policy
- where a monograph, book chapter or edited collection is the outcome of a UKRI Training Grant.

Although there is no requirement to seek UKRI’s approval on the use of exemptions, UKRI are asking to be notified of the use of any exceptions. Open Access Options
Funding is available for longform publications that are published within seven years of the end of the grant acknowledged. UKRI have set maximum levels of funding that they will contribute towards the cost of publishing OA
• £10,000 (including VAT) for monographs and edited collections
• £1,000 (including VAT) for book chapters
Please not that if Book Processing Charges are over £1000 for a chapter or £10,000 for a book, then you will have to arrange a split invoice, we will only pay up to the maximum that UKRI will be able to reimburse.
Applications to the fund will be via a two staged application process meaning that authors can ask for funds in advance of acceptance.
Stage 1 (Please note that a publication contract does not have to be in place at this stage)
To submit a stage 1 application please complete this application form.
At stage 1, the library will register the output(s) with UKRI for funding. UKRI will review the application and confirm if the output(s) will be eligible for funding. This process will take about 10 days. Successful applications will need to demonstrate a substantial link between the publication and UKRI research funding, as well as between the author and UKRI research funding.
If Stage 1 is approved you must ensure that your output complies with UKRI's open access policy by publishing under a CC-BY licence and that the cost does not exceed the maximum that UKRI will reimburse.
Stage 2
At stage 2 we can claim open access costs for long form publications that are in-scope of UK Research and Innovation (UKRI)’s OA policy and which have already been approved at stage one. We will provide confirmation of publication to UKRI to enable the release of the funds. The information required at stage 2 will include:
- date of publication
- confirmation of open access publication, for example a uniform resource locator or digital object identifier
- financial information and related invoices
- any changes to the information provided at stage 1
Some publishers may not offer a paid open access route but may permit you to deposit your Author’s Accepted Manuscript in an institutional or subject repository instead. If you plan to comply with the policy by depositing the accepted manuscript, you should deposit this in Pure.
The information you need for deposit in Pure is:
1. Author's Accepted Manuscript - not the publisher's PDF
2. Grant Award information - e.g. ‘This work was supported by the Medical Research Council [grant number xxxx]’.
Wellcome Trust
The Wellcome Trust open access policy applies to all original scholarly monographs and book chapters authored or co-authored by Wellcome grantholders as part of their grant-funded research. The policy does not apply to textbooks, ‘trade’ books, general reference works or works of fiction, or to collections edited, but not authored, by Wellcome grantholders.
To request open access funding for monographs and book chapters please contact the Wellcome Trust at openaccess@wellcome.org including the following information,
- your current employing organisation
- title of the monograph or book chapter
- Wellcome grant reference number
- publisher name
- proposed date of publication
- cost of the open access fee.
Wellcome Trust will supplement your grant and your Centre will be able to claim reimbursement for these additional costs. Please note that the Wellcome block grant cannot be used to pay for books or book chapters.
